Who We Are
W. F. Frost (Services) Limited, trading as Frost Services, is the controller responsible for the information covered by this notice. Our address is CEME Campus, Marsh Way, Rainham, Essex, RM13 8EU.
This notice covers website visitors, direct enquiries, customer-support correspondence, feedback and initial employment enquiries.
Information We Receive
We receive the contact and company details, property or job information, messages and supporting material you choose to provide. Please share only information relevant to your enquiry.
Our website and form providers also receive technical information, such as your IP address and browser request details. The form connects to its provider when the contact page opens, before submission. If you access our restricted review website, sign-in also uses your email address. See our Cookie Policy.
If you accept analytics, Google receives information about your visits, such as pages viewed, the referring website, device/browser details and cookie identifiers. We do not send enquiry-field contents to Google Analytics.
Why We Use Your Information
- Enquiries and quotations: to take steps you request towards a contract with you, or our legitimate interest in responding to business enquiries when you represent an organisation.
- Support and feedback: to perform a contract with you where applicable, or our legitimate interest in resolving questions and concerns and keeping a record of our response.
- Website delivery and security: our legitimate interest in providing and protecting the website.
- Optional website analytics: with your consent, to understand visits and improve our website. You can withdraw through Cookie Settings in the footer.
Providing enquiry details is voluntary, but we need enough information to respond and assess the work.
Your right to object: you can object to processing based on legitimate interests by contacting us below.
Employment Enquiries
If you contact us about working at Frost, we receive the contact details, experience, qualifications, availability and any CV you choose to send. We use this information for our legitimate interest in responding to prospective employees and considering suitable employment opportunities.
Our authorised staff handle your enquiry through our business communications systems. Please provide only relevant information. We keep it for as long as needed to handle your enquiry and any resulting recruitment discussion, taking account of relevant legal requirements and any unresolved concerns. The rights and contact details below also apply to employment enquiries.
International Processing
Our website hosting and enquiry-system providers may process information outside the UK, including in the United States. Our enquiry-system provider, Zoho, states in its UK Privacy Policy (opens in a new tab) that its international transfers are covered by data-protection agreements required under UK law. Our hosting provider, Cloudflare, publishes data-processing terms (opens in a new tab) providing contractual safeguards, including a UK Addendum where applicable. Google may also process analytics information outside the UK. Its data-processing terms (opens in a new tab) describe the contractual safeguards for international transfers.
How Long We Keep Information
We keep information only as long as needed for its purpose, considering ongoing enquiries or work, contractual and legal record-keeping requirements, and any unresolved concerns or disputes.
We configure Google Analytics to retain user- and event-level data for two months, without restarting that period when you return. Aggregated statistical reports may be retained for longer. Our Cookie Policy explains how long cookies and your saved choice remain on your device.
Your Rights
Depending on the circumstances, you can request access, correction, deletion, restricted use or a portable copy of your information. Where we rely on consent, you can withdraw it without affecting earlier lawful processing. We may need to confirm your identity.
